Officer Duties

President:                  

  • Preside over all meetings of this local PTSA, the board of directors, and the executive committee.
  • Coordinate the work of the officers and committees of this local PTSA in order that the purposes may be promoted.
  • Be a member ex officio of all committees except the nominating committee.
  • Perform such other duties as may be prescribed in the bylaws or assigned by the local PTSA or by the board of directors.
  • Review bank statements monthly and initial.
  • Represent the PTSA at all council meetings or send an alternate.
 

Vice President:       

  • Perform in their designated order the duties of the president in the absence or inability of that officer.
  • Perform duties as prescribed in the bylaws or assigned by the local PTSA or by the board of directors.

 

Treasurer:

  • Have custody of all funds of the local PTSA.
  • Keep a full and accurate account of receipts and expenditures including reconciliation of the bank statement each month.
  • Make disbursements as authorized by the president or board of directors of this local PTSA in accordance with the budget adopted by this local PTSA.
  • Present a written financial statement at every meeting of the executive committee, the board of directors, the general membership and at other times when requested by the board of directors.
  • Make a full report before the newly elected officers officially assume their duties.
  • Be responsible for the maintenance of such books of account and records as to conform to the requirements of Article IV, Section 13 of these bylaws.
  • Be responsible for preparing and filing all necessary tax forms and submitting a copy to the Maryland PTA office within thirty (30) days of filing.
  • Have the accounts examined at the close of the fiscal year and upon change of treasurer by an auditor or an auditing committee of not less than three (3) persons who, satisfied that the treasurer’s annual report is correct, shall sign a statement of that fact at the end of the report. An auditor or an auditing committee shall be selected by the board of directors at least thirty (30) days before the new officers assume their duties.
  • Perform such other duties as may be prescribed in these bylaws or assigned by this local PTSA or by the board of directors.

 

Secretary:

  • Record the minutes of all meetings of this local PTA/PTSA, the board of directors, and executive committee.
  • Prepare to read the minutes of the previous meeting.
  • File all records.
  • Have a current copy of the bylaws.
  • Maintain a current membership list.
  • Perform such other duties as may be prescribed in these bylaws or assigned by this local PTSA or by the board of directors.

 

Technology Committee Chair:

  • Assess technologies best suited for PTSA communication needs and keep existing tools or put new ones in place.
  • Manage the PTSA website by working with the Board of Directors and grouping and organizing the pages appropriately, presenting pertinent content to the PTSA community, and being the contact person for the school office for updating the school calendar.
  • Manage emails from ‘contact us’ button on the website by answering directly or forwarding to the appropriate Board member.
  • Work with various Board of Directors to provide for their needs, such as, work with Treasurer and Membership Chair to make sure online membership is setup each year, work with VP of Fundraising to ensure fundraising drives and accounts are setup correctly.

 

Membership Committee Chair:

  • Campaigns and recruits families to join the PTSA and assists with their registration.
  • Present a plan of work to the board of directors meeting in advance of the first regular PTSA meeting.
  • Maintain and update the membership form.
  • Maintain and update the membership due receiving system (working with the treasurer) and issue receipt for every membership application.
  • Conduct membership drive at the following school events:

 

Fundraising Committee Chair:

  • Helps to determine the fundraising budget and goals.
  • Develop the plan and strategy for the fundraising campaign.
  • Create any promotional materials/communications.
  • Track donations and send thank you/receipts.
  • Attend board and general Membership meetings.

 

Legislative Committee Chair:

  • Attends all state and district legislative meeting and the MD State PTSA annual legislative assembly.
  • Interface with state and local officials to obtain information and advocate on behalf of Accokeek Academy
  • Provide information to the PTSA Board on legislation and emerging issues impacting the education system.
  • Provide content as needed to the PTSA website.

 

Volunteer Committee Chair:

  • Assists with matching interested volunteers with PTSA volunteer opportunities.
  • Keep track of parents ready to volunteer and find volunteers for special events at school.
  • Write descriptions of volunteer jobs on the PTSA website.
